Meeting Minutes

 

  Session 1
The PAN summer meeting came to order at 9:35 a.m. with a group ice-breaker.
The first session of the business meeting began at 9:55 with an overview of the different goals for individual positions of the network.

It was moved by Charla Coleman and seconded by Jeff Burgin that we include “traditional” into the 4th goal for PAN so that there are certain programs that will always exist and be sponsored by the PAN African Committee.

The Goals discussed were as follows:
o To ensure the commitment and ownership of the directorate members with regard to their specific responsibilities
o To increase the visibility of PAN within ACPA and the overall student affairs profession
o To ensure the intentionality of PAN efforts as it pertains to the execution of the goals set forth in our Core Values
o To ensure a standard of excellence with programs, services and publications that represent the Pan African Network
o To recognize that directorate member efforts directly effect the retention and satisfaction of PAN professionals within the field of Student Affairs
o To increase PAN’s collaborative efforts with the remaining three networks within the Standing Committee for Multicultural Affairs


Session 2 - PAN Goals and Action Plans…
This session was designed to discuss the goals and create action plans to achieve each goal. The focus of the discussion was geared toward the upcoming year as well as the future longevity of PAN.

Goal 5
Tactics
· Assessment
o Track individuals

· Dialogue about why we chose to get involved with PAN
· Directorate members need to have documentation that guides them in their role.
· Commitment to the directorate. Honest dialogue about ability to successfully accomplish your role.

How
· Survey
· Evaluation of programs, meetings, publications, website
· Open sessions for verbal evaluations (roundtable)
· Directorate meets before open business meeting – i.e. Directorate Mtg.
· Open meeting to discuss PAN with other professionals/Directorate members to promote PAN.

Goal 6
Tactics
· Monthly dialogue with other Network chairs
· Open dialogue about how we, as people of color, interact with one another
· Assign folks to represent PAN at other network events, meeting, workshops, etc
· Networking (which may include coming together to present, etc.)
· Evolve the liaison position to monitor PAN member participation at other conferences.
· Have CMA coordinate a meeting amongst the reps. from all the networks to determine collaborative efforts.

*Note these goals were so specific the chairs did not feel we needed to discuss the how, because it was mentioned within the specific tactic.
Goal 1 To ensure the commitment and ownership of the directorate members with regard to their specific responsibilities.

Why is this goal important? To promote enthusiasm for the growth and longevity of PAN
To hold directorate members accountable to PAN and its affliations
What does this mean? – addresses accountability of directorate members to PAN, how we have structured our directorate, to address the level of commitment of members

What does this require? – reports, mass communication, timeliness, consistency, open atmosphere, collaboration, commitment to get to know each other, expectations

How will we do It? - quarterly reports to the chair and members, keep regular communication with PAN membership, promote active purposeful use of the list serve, set deadlines and hold each other accountable, team breakers, socials, other meetings, directorate members should provide feedback to other members after receiving quarterly reports

To increase the visibility of PAN with ACPA and the overall student affairs profession

Requires collaboration with other student affairs organizations, be aware of values, continuous membership, submission of proposals to ACPA of PAN issues, establish Relationships with commissions and committees, seek out positions in ACPA leadership, define a PAN identity, define protocol, need time

How to?: create a liaison to each national organization (PAN sticker), increase knowledge of PAN activities, advertise ACPA dates

To ensure the intentionality of PAN efforts as it pertains to the execution of the goals set forth in our Core Values.

To ensure a standard of excellence with traditional programs, services and publications that represent the Pan African Network

To recognize that directorate member efforts directly affect the retention and satisfaction of PAN professionals within the field of Student Affairs.

What does this mean? – assessment goal, knowing our membership

What does this require? – survey, evaluations, membership directory

How will we do it? – Have a dialogue about why we chose to get involved with PAN, Directorate members need to have documentation that guides their roles, commitment to the directorate, Honest, dialogue about ability to succeed, Surveys, Evaluations of programs, meeting, publications, website, Verbal evaluations (round table at ACPA)

To increase PAN’s collaborative efforts with the remaining three networks within the Standing Committee for Multicultural Affairs.

To increase collaboration with all CMA networks.

What does this mean? – intentionally plan to develop a relationship with other networks

What does this require? – see below

How will we do it? – Monthly dialogue with other network chairs, Open dialogue about how we as people of color interact with each other, Assign people to represent PAN at other network events (meetings, socials, workshops, etc.), Have CMA coordinate a meeting amongst the reps from all the networks to determine collaborative efforts, Evolve the liaison position to monitor PAN member participation at other conferences.

Session 4 - ACPA Planning 2003 and PAN’s Next Step
Our first activity was a quiz about PAN, CMA, and ACPA. This was facilitated by Renique Quick.

PAN Break Out Planning Session…
NPHC – July 22-31 make contacts with Lee Hoedl for service learning project, or with Sickle Cell Anemia Foundation

Research for NPHC social

August 7 – report back to PAN about the findings

August 13 – report back to PAN about the findings to have a roundtable in conjunction with LN

December 2 – Submit article to Publications for January Newsletter

Goal relations…
CMA goals – The promotion of Pan African Network events and NPHC events are in direct correlation to CMA. Education and optimal development of its members and students to create a more inclusive educational community that is beneficial to all.

Mentoring and Networking with others
Fostering opportunities for success of colleagues
Professional opportunities like keynotes, workshops, presentation of self
Learning about other cultures and sharing of our own

Culture Fest
August 5 – Confirm if CMA will sponsor our storyteller act

August 30 – Will confirm what our one act will be for the culture fest

Goal relations…
CMA – Our working with CMA is in itself meeting the goal. Reaching out to our constituency

Sept 2 – Receive info for newsletter
Sept 16 – Send to Samantha Jones for edit
Sept 20 – Final approval from Renique
Oct 1 – Issue is Released

Sept – Continued work on City Pages
Oct 14 – Final decision on outing/social…start logistics and program planning…have program structure for fellowship as well some participants
NPHC
Nov – On-going logistics planning and city pages
Dec 2 – Report progress to PR committee/with an advertisement
Jan 10 – City guide complete, and passed on to Samantha Jones and pass to Renique by Jan 17 for editing…ongoing logistics
Jan 24 – Renique relinquishes the pages back
Feb 7 – Everything planned and logistics set
Mar 3 – Submit flyer ideas to PR, submit advertisement to publications

These planning dates will become a part of the PAN planning calendar. Chayla and Samantha I. will be working together to complete this.

CONFERENCE TIME (The following is a proposed schedule for ACPA 2003. All events in Blue require everyone’s help. All events in Red require the presence of the Directorate.)

Friday:
Arrive @ ACPA
In-Service on Friday (Renique will Check on)
Work w/ Placement mid afternoon to get kits together
Receive Newsletters to Pass out/ as well as Social advertisements
Meet and Greet during Registration
Social/Dinner Meeting – with Directorate

Saturday:
Meet and Greet during Registration
1-4pm CMA Directorate (Renique and Chayla attend)
7-9pm Pre-Convention Social

Sunday:
CHURCH! – 9-11pm Fellowship
PAN Directorate Meeting 1-3pm

Monday:
4-6pm Open Business Mtg*
7-9pm NPHC Social

*Consider shortening the meeting to 5:30pm so there is time to meet with new Directorate members.

Tuesday:
Culture Fest
Announcements
- There are four class dean positions at Columbia University
- We engaged in some conversation about addressing issues with directorate members are not pulling their weight…how to vote them out, appropriate guidelines
- Renique does not have voting power, but Chayla does (Past Chair – no, Chair elect – yes)
- Yuri, Program Committee Chair for CMA is looking for volunteers
- CMA has a membership form online
- Mentoring network…CMA has a program that they want to use as an umbrella for all networks…Mark and Denise have done a great job…and maybe they could do the CMA program???

The Business Meeting was closed at 4pm
The PAN Summer Leadership Meeting was officially adjourned Sunday by Chayla Haynes.
